Agree on the people and the promise
Write down the primary contact, the final approver, and the agency owner for the account. Confirm the deliverables, formats, due dates, and revision agreement. A long list of stakeholders is fine, but a review still needs one person who can make the final call.
Collect the production inputs
Do not mark onboarding complete just because an invite was accepted. The team needs enough to start the first task.
- Current logo files, fonts, colors, and brand guidance.
- Examples the client likes and a short explanation of why.
- Required language, product details, and claims that need approval.
- Source media and the location of the approved assets.
- Deliverable sizes, lengths, channels, and deadlines.
- Any missing input, with a named owner and due date.
Set up access and review it
For an Agency plan, create the client sub-workspace and invite the correct people. For a regular team workspace, organize the client work in the project access available to you. Test the reviewer’s path and check cloud-account sharing separately. Use individual accounts, not a shared password for the whole client team.
Copy this kickoff note
Client: [name] Agency lead: [name] Primary client contact: [name] Final approver: [name] First deliverable: [title, format, length] First-cut date: [date] Client feedback due: [date and time zone] Final delivery date: [date] Brief: [link] Approved assets: [link] Review location: [link] Open inputs: [item / owner / due date] Feedback rule: [who combines notes and where they go] Next action: [owner + task + date]
Finish with one real handoff
Ask the client to open the project and complete a small practice review. Then assign the first production task with the actual brief and files. The useful finish line is a team member who can start work and a client who knows where the next review will happen.
